Casa Rento is an online platform that connects hosts and guests. The platform provides a user-friendly environment where hosts can present their accommodations and where guests can easily search, compare, and submit a booking request.

The host is the natural or legal person who owns or manages the accommodation and offers it through Casa Rento to potential guests. The host remains at all times responsible for offering, managing, and maintaining the accommodation, as well as for the accuracy of the information, photos, and availability shown in the listing.

Casa Rento acts solely as an intermediary platform and is not the owner, operator, or manager of the accommodations offered on the website. The platform facilitates communication and booking requests but is not involved in the actual rental agreement between host and guest.

The rental agreement is always concluded directly between the host and the guest, without the involvement of Casa Rento. Casa Rento is not a party to this agreement and merely provides the online platform where hosts can list their accommodations and guests can make booking requests.

The platform facilitates contact and presentation of accommodations but has no influence on pricing, terms, availability, cancellations, or the quality of the stay. The content and execution of the agreement remain entirely the responsibility of the host and the guest.

By using Casa Rento, the host agrees to act as an independent provider. Casa Rento offers the technical and promotional means to make the accommodation visible but is not liable for disputes, damages, or misunderstandings arising from the agreement between host and guest.

FAQ for guests

The prices shown on our website provide a good indication of the expected costs, but the final price is always determined in consultation with the property owner. Any additional costs — such as cleaning fees or tourist tax — as well as personal preferences, are discussed during this process. The final price may differ slightly from the initial indication. Transparency and clear communication between guest and host are key.

The indicative price gives an estimate of the total cost for a stay, as provided by the host.

It is meant to give you a clear idea of the expected amount, so you can check in advance whether an accommodation fits your budget.

Note: this price is for information only and is not binding.

The final amount may be slightly higher or lower, for example due to special requests or arrangements you make directly with the host.

All payments and agreements take place outside Casa Rento. We do not process payments and receive no commission.

This way you know in advance roughly what to expect, without having to pay anything upfront or incurring costs through our platform.

The availability calendar is a tool that allows hosts to indicate on which days their accommodation is available or occupied. Guests can view this information and submit a request for a desired period, but such a request is not a booking and does not automatically lead to an agreement.

The host and guest arrange all details outside Casa Rento, such as price, conditions, payments, and final confirmation. Casa Rento does not offer a payment option, holds no funds, and does not set prices. All permits, any registration requirements, tourist taxes, and other legal obligations remain entirely the responsibility of the host.

The availability calendar on Casa Rento is up to date in most cases, but minor discrepancies are possible. Hosts manage their own availability calendars and do their best to keep them accurate.

Some hosts also offer their accommodations on other platforms. If bookings are not synced automatically, occasional overlaps may occur. This means a date might appear available, while it has just been booked elsewhere.

If a date is shown as available, chances are high that you can go ahead and make a reservation.

Want to be sure a specific date is available? Simply contact the host using the button provided with the listing – this way you’ll get clarity before making your booking.

The changeover day is the day when guests check out and new guests check into an accommodation. This usually applies to holiday homes. At B&Bs or smaller stays this often does not apply, as they usually offer more flexibility in arrival and departure days.

On which days does the changeover day usually fall?

The changeover day often falls on Friday, Saturday, or Sunday, as this aligns with most holiday periods and work weeks. This may vary per accommodation.

How do I know when the changeover day is?

The changeover day is always clearly indicated in the availability calendar of the accommodation. This way you can immediately see on which days check-in and check-out are possible.

Do I always have to arrive or depart on the changeover day?

Yes, in most cases a fixed changeover day applies. This means you can only check in and out on that day. However, some holiday homes offer more flexibility, such as midweek or weekend arrangements.

Why is a fixed changeover day used?

A fixed changeover day provides:

  • Efficiency in cleaning and maintenance.
  • Clarity for guests.
  • Better planning for landlords and cleaning teams.

What are the check-in and check-out times on a changeover day?

  • Check-out: usually in the morning, for example before 10:00 am.
  • Check-in: often in the afternoon, for example from 3:00 pm.

These times may vary per holiday home.

Can I check in earlier or check out later?

Sometimes this is possible in consultation with the landlord or manager, depending on cleaning schedules and availability. Additional costs may apply.

Can the changeover day differ per season?

Yes. During busy holiday periods, such as summer, fixed changeover days are often used. Outside the high season there is sometimes more flexibility.

What happens if I cannot travel on the changeover day?

If your travel plans do not match the changeover day, please contact the landlord. Sometimes exceptions are possible, or alternative travel dates can be arranged.

No, it is not possible to take out cancellation insurance via Casa Rento.
However, we strongly recommend arranging this yourself with a reliable insurance provider.

Cancellation insurance offers financial protection in case you need to cancel or cut your holiday short due to unforeseen circumstances. This way, you avoid unexpected costs and can look forward to your stay with peace of mind.

 

Note: Always check carefully which situations and amounts are covered, so you’re not caught off guard.

Casa Rento is not a party to the booking and does not get involved in cancellations or their handling.
All arrangements are made directly between you and the owner.

We recommend contacting the owner in time and reviewing the agreed terms carefully. This helps avoid surprises and ensures a smooth process.

If a rental agreement has already been signed, the cancellation terms in that contract apply. The owner is not obligated to cancel free of charge. Always read the rental agreement carefully to understand the potential cancellation costs.

Note: If you have taken out cancellation insurance, you may be entitled to compensation in some cases. Your policy conditions determine whether you qualify.

Before, during, and after your stay, the owner is your direct point of contact for any questions about the holiday home and your stay.

Always discuss it first directly with the owner. Many issues can be resolved easily through good, open communication.

Can Casa Rento assist?

Casa Rento is not a party to the booking and does not mediate in disputes. However, we can contact the host about a complaint — if necessary.

Once the owner has approved your booking request, they will contact you – usually by email or phone. During this contact, key details will be arranged, such as payment, rental terms, key handover, and any additional agreements.

 

You pay directly to the owner, without involvement from Casa Rento.

Casa Rento gives holiday home owners the opportunity to offer their accommodation directly to guests. All information in the listing – from photos and descriptions to rates and availability – is entirely entered and managed by the owner.

Casa Rento functions solely as a platform and is not a party to the rental agreement or payment. Think of us as an online marketplace: we provide a space to showcase holiday properties but do not mediate in the transaction.

How does Casa Rento ensure reliability?

We value safety and trust. That’s why we take several precautionary measures:

  • Mandatory upfront payment: Owners pay a fixed amount in advance to list their accommodation. This step reduces the likelihood of fake listings and increases platform reliability.

  • Use of a secure payment system: Payments go through a monitored system, providing additional assurance about the advertiser’s identity.

  • Random checks: We do not manually review every listing but perform spot checks to ensure ads are realistic and complete. We contact the owner if we notice unclear or suspicious content.

  • VAT number verification: If an owner provides a VAT number, we check whether it is valid and correctly registered.

  • Follow-up on reports: If there are complaints or concerns about a listing, we contact the owner. Listings may be temporarily blocked or permanently removed after repeated complaints.

  • Active community: Do you spot something suspicious or have doubts about a listing? Let us know via helpdesk@casarento.com – we take every report seriously.

You book directly and with confidence

Casa Rento stands for a transparent and secure platform. Thanks to direct contact between guest and host, clear communication and clear agreements – such as a rental contract – trust is built.

We do everything we can to ensure you can book your holiday with peace of mind.

On the page of each accommodation you will find a blue contact button. With this button you can easily send your question to the landlord. Enter your name, email address and message, and you can also optionally provide a phone number so the owner can reach you more quickly if desired.

The landlord will receive a notification immediately and can then contact you directly to answer your question and/or provide additional information.

Your details are used solely to process your request, ensuring that the first contact is established safely and clearly via Casa Rento.

Only guests who have made a request through Casa Rento, created an account and stayed at the accommodation can write a review. This ensures that all reviews come from real guests with a confirmed request.

Guests who have not made a request via Casa Rento (for example, directly with the host or through another platform) cannot leave a review. This ensures that all reviews are reliable, honest, and representative.

After your stay, you will automatically receive an email from Casa Rento inviting you to write a review.

Follow these steps to submit your review:

  • Click on the link in the email.
  • Log in with your Casa Rento account.
  • Scroll to the “Reviews” section on the accommodation page.
  • Give a rating (number of stars) and write a short comment about your stay.
  • Click “Submit” to send your review.

Your review will then be checked by Casa Rento before it appears online, to ensure that the content meets our guidelines (no offensive language, personal information, or advertising).

Before the review becomes visible, the host has the opportunity to post a response. The host cannot edit the review itself but can add a reply.

After this step and approval by Casa Rento, both the review and any response from the host will be visible on the accommodation page.

FAQ for owners (general)

Yes, advertising your accommodation on Casa Rento in 2026 costs just € 182.50 per year per property – which comes down to only € 0.50 per day. There’s no commission on bookings, so all rental income goes directly to you.
If you list multiple properties, you’ll benefit from attractive discounts on the annual fee.

Prices are excluding VAT. The applicable VAT rate depends on the country where your accommodation is located. As these rates vary per country and we do not know this in advance, prices are shown without VAT. The invoice will state "VAT reverse charge" (if applicable).

Clear pricing, no hidden fees, and full control over your own rental.

One month before the annual term expires, you will automatically receive an email from our system asking whether you would like to extend your listing for another year.

If you choose to renew

The email will include a direct payment option to easily complete the renewal. Once payment is received, the listing is automatically extended for another year. This process repeats annually, with a reminder sent one month before the term ends.

If you choose not to renew

If you do not renew, your accommodation details will be automatically removed once the annual term has ended.

This way, the platform remains up to date, and hosts maintain control over their listings.

No, having your own website is not required to sign up with Casa Rento. You can easily register and present your accommodation via our platform, without needing technical knowledge or an existing website. Casa Rento provides all the tools you need to showcase your accommodation clearly and attractively to potential guests.

After signing up, you can manage photos, descriptions and availability yourself, so you retain full control over how your accommodation is presented. Guests can contact you directly, without the need for a personal website or external systems.

An important advantage of Casa Rento is that you rent out without commission fees. This means you do not pay a percentage per booking to a platform, allowing you to keep more from each reservation. This makes Casa Rento particularly suitable for both private hosts and small-scale providers who want to rent out in a transparent and fair way.

Yes, absolutely! You can list as many holiday homes, studios, rooms, or other types of accommodations as you like. For each accommodation, you create a separate listing.

Why a separate listing for each accommodation/room?

Each listing has its own booking calendar. This means you can manage the availability of each accommodation or room individually. This prevents confusion and ensures your guests always see accurate information about which dates are still available.

If you rent out different units at the same address (for example, several rooms in a house or multiple chalets on one property), this counts as 1 accommodation.

Example: Do you have a holiday home with 4 individually bookable rooms, or a property with 3 chalets? Since they are all at the same address, this is considered 1 accommodation within your subscription.

At Casa Rento, you set your own rules. In addition to our general terms and conditions, which you agree to when registering as a host, there are no mandatory guidelines you must follow. You have full control over how you rent out your accommodation.

What does this mean for you?

  • Self-managed: You list your accommodation(s) on our platform, set the prices, manage the calendar, and decide which bookings you accept, modify, or cancel.
  • Direct communication: All communication with guests goes directly through you. You handle agreements such as key exchange and any additional costs.

No, Casa Rento is not subject to the DAC7 regulation. This has been confirmed after consultation with the Dutch Tax Authorities.

The main reasons are:

  • No data reporting: Owners do not submit booking or payment data to Casa Rento.

  • Subscription model: Owners pay a fixed annual fee, with no commission per booking.

  • No financial processing via the platform: Payments take place directly between guest and owner; Casa Rento is not an intermediary.

As such, Casa Rento does not have access to the information required for DAC7 reporting, such as exact payment amounts or the actual service provided.

Although booking requests are submitted via the site, it is unknown whether a booking is finalized, what amount is agreed upon, or when payment occurs. Prices shown on the platform are indicative and can be adjusted by owners.

 

In short: Casa Rento provides a technical platform for contact but is not involved in the financial or contractual handling between guest and owner.

Anyone who rents out a holiday home within the EU is considered an entrepreneur for VAT purposes in the country where the property is located. If you do not provide a VAT number and your accommodation is located in the EU, we are required to charge Dutch VAT.

 

If you do provide a valid VAT number, Casa Rento is obliged to apply the reverse charge mechanism. This VAT number is automatically verified when you take out a subscription.

Yes, as a host on Casa Rento you retain full freedom to offer your accommodation through other channels as well. We believe it is important that you decide for yourself how to organize your rentals. It is therefore no problem to present your property simultaneously on multiple booking websites.

Please make sure to keep your availability up to date. Keep your calendar current across all channels to prevent double bookings. Casa Rento provides convenient options and clear instructions to help you manage your schedule with ease, ensuring that your listing stays up to date everywhere and guests can always book with confidence.

With this flexibility, you can increase the reach of your accommodation while benefiting at the same time from the user-friendly tools and guest-focused service of Casa Rento.

Casa Rento applies an annual price indexation to keep costs fair and transparent and to ensure the continued quality of our platform.

The indexation is calculated based on the inflation rate published by the CBS (Statistics Netherlands). The new rate is rounded up to the nearest half or whole euro to avoid impractical amounts.

Important: existing subscriptions are never increased in price.

The price indexation applies only to new subscriptions concluded after the indexation date.

In addition to this annual indexation, Casa Rento reserves the right to adjust prices for new services or future agreements independently of inflation when market conditions, costs, or investments make this necessary. Any price changes outside the indexation will always be communicated clearly and in a timely manner.

In this way, Casa Rento remains a reliable and sustainable platform for both renters and owners, with clear agreements, no hidden fees, and no commissions.

At Casa Rento, we believe that renting out and booking a holiday home should be as fair and transparent as possible. Guests pay absolutely nothing to use our platform and can book an accommodation free of charge, with no reservation fees or hidden charges.

With an account you can manage your accommodations by adding or editing texts, photos and availability yourself. You can also track requests and immediately see when new inquiries or guest messages arrive. In addition, all your data is stored securely so that all information remains organized in one place.

You only pay for publishing the accommodation, not for creating or keeping your account. Casa Rento does not process payments between guest and host; all financial arrangements are made directly between you and your guests.

With your own account you stay in control and your accommodation is presented professionally and safely to an international audience.

Yes, as soon as a guest asks a question or submits a request for your accommodation, you will immediately receive a notification. These notifications are always sent by email and – if your phone number is known – also by SMS. In addition, all notifications are also visible in your Casa Rento account, so you can access them there at any time.

This way you always stay informed and can respond quickly to new messages or booking requests. You will never miss an opportunity to connect with potential guests and rent out your accommodation optimally.

At this moment, it is not possible to register accommodations outside the European Union on our platform. However, we are working to make this possible in the future, so that hosts outside the EU can also offer their accommodations via Casa Rento.

Do you have an accommodation located within the EU, but live outside the EU yourself? Then you can still use Casa Rento, as long as you meet the other requirements for registration and rental.

Yes. Casa Rento intermediates in the first contact: requests and the first messages go through the platform so that host and guest can connect safely. After that, you are free to continue communication and/or requests outside Casa Rento. You can, of course, choose to keep communication via Casa Rento; this can be useful for overview and reference. Contract and payment always take place outside Casa Rento.

Important to know:

Handle personal data carefully (use it only for the relevant request), and record essential terms (final rental price, dates, cancellation policy, security deposit) clearly and in writing. Also make sure you comply with applicable laws and regulations (such as permits, tourist tax, and consumer protection law) and keep your listing details on Casa Rento up to date to prevent misunderstandings.

Casa Rento only stores your data for as long as necessary to use the platform or while your account remains active.

If you delete your account and have not yet listed an accommodation or made any payment to Casa Rento, all your personal data will be completely deleted. In that case, no information from your account is retained.

If you have listed an accommodation and therefore made a payment to Casa Rento (for purchasing a subscription), we are legally required to retain this information for tax purposes. This applies only to the invoices and payment details related to your transactions with Casa Rento. According to Dutch and European tax regulations, these records must be kept for at least seven years, and in some cases up to ten years.

Important: payments and invoices between hosts and guests are handled entirely outside of Casa Rento. Casa Rento has no access to this information.

After the legal retention period has expired, any financial data that Casa Rento was required to keep will be permanently deleted.

FAQ for owners (technical)

To list your accommodation(s) on the Casa Rento platform, you need an active subscription plan. In the Terms & Conditions this is also referred to as the purchase of credits.

These credits represent your subscription plan and give you the right to make one or more accommodations visible on the platform. Without a subscription, you cannot list accommodations.

How many subscriptions do I need?

The number of subscriptions required depends on your rental situation:

  • Multiple units at one address. Do you have several rooms, apartments, or units at the same address? Then this counts as one accommodation and you only need one subscription. Example: 8 rooms at one address = 1 subscription.
  • Multiple accommodations within one EU country. Do you have accommodations spread across different addresses in the same EU country? Then you need one subscription per address. Example: 5 accommodations at 5 different addresses in the same country = 5 subscriptions (with volume discount).
  • Accommodations in multiple EU countries. Renting out in more than one EU country? Then you must purchase a separate subscription for each country, depending on the number of accommodations. This is required due to EU VAT regulations, as invoicing must be processed per country.

How do I purchase a subscription?

  • Log in to your Casa Rento account.
  • Go to Host Dashboard → My subscriptions and click on Purchase subscription.
  • Select the subscription plan that matches your number of accommodations and location(s).
  • Pay securely via our integrated payment system.
  • Your invoice, including the correct VAT details according to EU regulations, will be available immediately in your account.

What happens after purchase?

  • Your subscription is activated immediately after payment.
  • You can start adding and managing your accommodation(s) right away.

Practical examples

  • 3 apartments in Spain + 2 in Portugal. Required: 1 subscription for 3 accommodations in Spain and 1 subscription for 2 accommodations in Portugal. You first purchase the subscription for Spain, then the one for Portugal.
  • 6 rooms in a guesthouse in France. Required: 1 subscription, since all rooms are at the same address.
  • Expanding later to another EU country. You can easily purchase additional subscriptions for the new country.

Tip

Plan ahead and carefully consider the number of accommodations per country. This way, you can purchase the right number of subscriptions (credits) in advance, often with a volume discount, and avoid frequent adjustments later on.

When completing your subscription, the payment is processed through Stripe, our official and trusted payment platform. Stripe is one of the most widely used payment providers in the world and is known for its security, reliability, and ease of use. Millions of businesses worldwide rely on Stripe to process online payments smoothly and securely.

When you see the message that your payment is being processed by Stripe during checkout, it means that your transaction is taking place in a secure and controlled environment. Stripe ensures that every payment is completed in accordance with the highest international security standards (PCI DSS).

To protect your privacy, all payment details are encrypted and transmitted over a secure SSL connection. Your information is processed directly by Stripe and is not stored on our servers. This ensures that your payment data remains fully protected.

Stripe only receives the information necessary to complete the payment, such as:

  • your name,
  • your email address,
  • and the amount to be paid.

This information is used solely to process the transaction securely and accurately. Stripe does not sell or use your data for any other purpose.

After a successful payment via Stripe, your subscription is activated immediately.

You can easily check this in your dashboard under ‘My Subscriptions’. There you will see the subscription you have just purchased, along with its details and status.

Whether the subscription is active is also clearly shown in the ‘Status’ field. When the subscription appears there and the status is set to ‘Active’, it means you instantly have access to all the features included in your plan.

At Casa Rento, you always first add an accommodation (the address/main location and other basic details) and then one or more units (the actual rentable parts). Even if you only rent out one property, you still add a unit. This way the system knows exactly what is being rented: in your case, the entire house.

What is an accommodation?

An accommodation is the main location where you rent out, for example:

  • A holiday home at one address
  • A B&B

What is a unit?

A unit is an individual rentable part within the accommodation. This can be, for example:

  • A room in a B&B
  • An apartment within the same building
  • The entire house (if only one unit is available for rent)

Why add a unit even if you only rent one property?

Many hosts rent out several units under one accommodation (for example, 5 rooms in a B&B). That’s why the system is designed so that you always add units, even if there is only one.

For hosts with a single holiday home, it works like this:

  • You add the accommodation (e.g., “Villa by the Lake”).
  • You add one unit: “Entire villa.”

This way:

  • It’s always clear that there is exactly one rentable unit available.
  • Your listing is processed correctly on the platform and shown to visitors.
  • Everything stays consistent, whether you offer 1 unit or 20 units.

Examples

B&B with 5 rooms

  • 1 accommodation: “B&B Sun Court”
  • 5 units: “Room 1,” “Room 2,” etc.

Apartment building with 3 apartments

  • 1 accommodation: “Seaside Apartments”
  • 3 units: each apartment separately

Holiday home

  • 1 accommodation: “Villa by the Lake”
  • 1 unit: “Entire villa”

Tip

If you rent out only one property, choose a clear unit name such as “Entire holiday home” or “Whole property” instead of just “Unit 1.” This helps guests immediately understand what they are booking and makes your listing more attractive.

No. Subscriptions with Casa Rento are not renewed automatically. After the end date of your current term, no automatic charges or renewals will take place.

Annual subscription

Well before your annual subscription expires, you will receive an email asking whether you wish to renew or not. If you do not respond or take any action, the subscription will automatically end on the end date.

What happens after it ends?

On the end date, all paid features are automatically disabled. You will still have access to your account and data, so you can reactivate at any time by choosing a new subscription.

Note: as soon as the subscription has expired, your accommodation is no longer visible to visitors.

How to renew?

In your host dashboard, go to My Subscriptions, choose the desired plan, and complete payment. Make sure the email address in your account is up to date so you receive the reminder in good time.

You don’t need to add translations manually. At Casa Rento, this happens completely automatically.

How it works

  • Add your accommodation in your own language (for example Dutch, French or Spanish).
  • As soon as you save the information, it is automatically translated using the latest language models from ChatGPT.
  • Your listing will then be available in six other languages: Dutch, English, German, French, Spanish, Portuguese or Italian – depending on the language you originally used.

 

Why this is helpful

  • You don’t need to spend time on translations yourself.
  • You immediately reach a broader, international audience.
  • Each visitor sees the listing in their preferred language (if available).

 

Tip

Use clear and complete descriptions when creating your listing. The better the original text, the more natural and accurate the translation will be.

At Casa Rento, the description of your accommodation is always automatically translated into six other languages.

This allows visitors from different countries to read the information directly in their own language.

When listing an accommodation, however, it may happen that not all text is transferred one-to-one into other languages.

This has a clear reason: we make sure that all content complies with our guidelines and can be displayed safely.

Protection of personal data

Email addresses, phone numbers and other private details are removed to protect your privacy and that of your guests.

These details are omitted not only in the translation, but also deleted from the original source text.

Prevention of unwanted or inappropriate content

Certain text may be omitted or not translated if it does not meet our guidelines.

This may include inappropriate language, swear words, irrelevant links, or other types of content that may be deemed unsuitable in the future.

Such content is also completely removed from the original language.

This way, visitors receive clear and safe information while you, as the host, can be sure that your accommodation is presented professionally and correctly.

Yes. You can temporarily hide your accommodation(s) without deleting them.

How to do this

  • Log in to your Casa Rento account.
  • Go to Host Dashboard → Manage accommodations and select the accommodation you want.
  • Click the hide button.

What happens then?

  • Your accommodation will disappear from search results and visitor listings.
  • Ongoing requests will remain active.
  • You can make the accommodation visible again at any time by clicking the publish button.

Tip: Do you want your accommodation to remain visible but not available for a certain period? Then switch off the status Available for request?

Your accommodation will still be visible, but no requests can be made for that period.

Yes. You can delete your accommodation at any time. This can be done easily in just a few steps:

  • Log in to your Casa Rento account.
  • Go to Host Dashboard → Manage accommodations and select the accommodation you want.
  • Click the delete button. You will first receive a confirmation message asking if you are sure you want to delete the accommodation.

Please note that all ongoing requests must be completed first.

Important:

Deleting is permanent: your accommodation will be removed from both the dashboard and the search results.

Do you only want to make your accommodation temporarily invisible? Then choose the option hide instead. This way, you can easily make your accommodation visible again later.

Deleting your account can easily be done via your Casa Rento profile:

  • Log in to your Casa Rento account.
  • Go to Host Dashboard → Profile and click on Delete your account at the bottom of the page.
  • You will first receive a confirmation message asking you to confirm that you really want to permanently delete your account.

What are the consequences?

  • Your entire profile and personal data will be deleted.
  • All your accommodations and ongoing requests will be permanently removed from the dashboard and from the search results.
  • Any purchased subscriptions will not be refunded (not even partially).
  • After deletion, you will no longer have access to your account, data, or communication history.
  • This action is irreversible: the account cannot be restored.
  • You may create a new account later, but you will start completely fresh: previous accommodations and data will no longer be available.

Tip

If you only want to pause temporarily or make your accommodations invisible, you do not need to delete your account. Instead, use the Hide option in your accommodations. This way, you can easily make them visible again later.

In many countries and cities within the EU, you are required as a host to officially register your accommodation with the local authorities. After registration, you will receive an official number, which can have different names depending on the regulations, such as:

  • Tourist number
  • Registration number
  • Permit number
  • License number
  • CIR (Codice Identificativo Regionale) in Italy
  • RNAL (Número de Registo Nacional de Alojamento Local) in Portugal
  • NRT (Número de Registro Turístico) in Spain
  • Numéro d’enregistrement in France
  • Registrierungsnummer in Germany/Austria

This number often has to be displayed in advertisements and on booking platforms, so that guests and authorities can see that your rental is legally registered.

Do I need this number for Casa Rento?

Yes. In countries and cities where registration is mandatory, you must enter the correct number when creating your accommodation listing in Casa Rento.

How do I get a tourist/registration number?

The procedure differs depending on the country or city. We always recommend checking the rules of your local authority before offering your accommodation.

Where do I enter this in Casa Rento?

When adding a new accommodation in your Host Dashboard, you will find a field called “Registration number / Tourist number”. Enter the official number you received from the authorities. This number will then be shown in your listing, in accordance with local regulations.

What happens if I don’t have a registration number?

  • In countries or regions where registration is mandatory, you may only list your accommodation on Casa Rento with a valid registration number. As the host, you are solely responsible for complying with the registration requirements that apply to your accommodation.
  • You may face fines or sanctions from the local authorities if you rent out without registration.
  • In countries/regions where no registration number is required, you can leave this field empty.

Tip

Because the name of this number varies per country or region, Casa Rento uses the general label Registration number / Tourist number. Always check the current rules in your area and make sure you provide the correct number.

When adding your accommodation to Casa Rento, you can link it to a city, region, province, or country (step 2). This makes it easier for visitors to find your accommodation when they search for a specific destination.

By selecting the right location:

  • Your accommodation will appear in the search results for visitors looking in that city or region.
  • Your listing becomes more relevant and visible.
  • You increase your chances of receiving booking requests.

What if my city is not in the list?

It’s possible that a specific city is not yet available in the Casa Rento database. No problem:

  • In that case, select the region, province, or country that best represents your accommodation.
  • This way, your listing remains visible on the platform, even if your exact city is not yet included.
  • Casa Rento regularly adds new locations. As soon as your city is added, your accommodation will automatically be linked to it.

Example: If “Giethoorn” is not yet available in the list, you can select “Overijssel” or “Netherlands.” Once “Giethoorn” is added, your accommodation will automatically be linked to the city.

Can I also link my exact address?

Yes. In addition to the general location setting, you can also link the actual address of your accommodation. This offers several advantages:

  • Your accommodation is always displayed correctly on the map view.
  • Whether visitors search by region, city, or the name of your accommodation, your listing will remain visible.
  • It increases trust for guests, since your location is shown clearly and transparently.

Why is the right location important?

  • Findability: Visitors often search by specific cities or regions.
  • Visibility: The more precise your location settings, the better your listing shows up in search results.
  • Booking requests: Accommodations linked to popular destinations are more likely to receive inquiries.
  • Flexibility: By linking to a region/province/country, you can start renting out even if your city is not yet listed.

What happens if my city is added later?

  • Your accommodation will automatically be linked to the new city.
  • This happens without you having to take any action.
  • Your listing keeps all its visibility and immediately benefits from the improved findability.

Tip for hosts

  • Always choose the most accurate location available (preferably the city, otherwise the region or province).
  • Always add your actual address for maximum reliability and the best display on the platform.

The price set at the accommodation level (step 3) is mainly used for visibility. It gives visitors in the search results a first impression of the price range of your listing. This makes your accommodation comparable to others and increases the chance that guests will click through to view more details.

The price at the unit level is the actual booking price. This is the amount the guest will ultimately pay. Especially if you have multiple units, such as different rooms in a B&B or several apartments within one building, each unit can have its own price. This allows you to easily differentiate between, for example, a standard room and a deluxe room.

Together, both prices ensure a clear and transparent presentation: the accommodation price makes your listing attractive in search results, while the unit price guarantees that the booking is processed correctly and transparently.

Examples

In a B&B with three rooms, you could set the accommodation “starting from” price at € 60 per night. Each of the three rooms (units) then has its own price, for example € 60, € 75, and € 90.

In an apartment building with two apartments, the accommodation price might be € 100 per night, while the units are priced individually, for example € 100 and € 120.

If you rent out one holiday home, you set both the accommodation price and the unit price the same, for example € 150 per night.

Tip

Always choose a realistic starting price for your accommodation to ensure good visibility in search results, and make sure the unit price reflects the actual rental price that guests will pay.

Attributes describe the main features of your accommodation. They include things like the type of accommodation, available facilities, house rules, whether pets are allowed, privacy aspects such as a private entrance or shared garden, and specific features such as swimming pool use.

By filling in this information as completely as possible, you give guests a clear picture of what to expect and ensure that your accommodation appears in the right search filters.

If you provide little information, you risk your accommodation not being shown in searches or filters that are important to many guests.

For example, if you have a holiday home with a pool where pets are welcome but you don’t add these details, your accommodation will not appear in the results for guests specifically searching for them. If you do fill in the attributes carefully, you will be easier to find and increase your chances of receiving requests.

Tip

See attributes as your chance to present your accommodation fully and attractively. The more complete and honest your input, the easier it is for guests to find you and the more likely they are to choose your accommodation.

You can easily add photos through your host dashboard. After logging in, go to the accommodation you wish to edit and, in step 1, you can add photos. You can upload images from your computer, tablet, or smartphone. Once the upload is complete, the photos are automatically saved and visible in your listing on Casa Rento.

Regarding image rights: by uploading photos, you grant Casa Rento a non-exclusive permission to display these images on the platform and to use them for promotional purposes, such as in search results, newsletters, social media, or other marketing materials related to your listing.

You remain at all times the rights holder and owner of the uploaded photos. However, you are fully responsible for ensuring the validity of the rights to the images you use. This means that when uploading, you guarantee that you own the copyrights yourself or that you have obtained verifiable permission from the original creator or rights holder.

Casa Rento accepts no liability for any infringements of copyright, portrait rights, or other intellectual property rights of third parties resulting from the use of photos you upload. In the event of a complaint or dispute regarding image rights, full responsibility and any possible damages rest with the uploader of the material.

Photos that violate copyright law, privacy rules, or Casa Rento’s general terms and conditions may be removed without prior notice.

Which file types and formats can I use?

Casa Rento supports JPG, JPEG, and PNG file formats. For best quality, a minimum resolution of 1200 by 800 pixels is recommended. Photos with lower resolution may appear blurry or grainy, especially on larger screens.

When uploading, make sure the photos are royalty-free or taken by you. By uploading photos, you grant Casa Rento the right to display, optimize, and, where necessary, technically adjust the images (for example, to improve loading times). These adjustments do not affect your ownership rights.

How many photos can I upload?

You can add up to 50 photos per accommodation. To create an attractive impression of your property, we recommend uploading at least five. Using multiple photos helps visitors get a better idea of the space, amenities, and atmosphere. Make sure to only use photos for which you own the rights. Casa Rento reserves the right to remove photos that do not meet quality standards.

How is the order of my photos determined?

The first photo you upload is automatically set as the main photo of your accommodation.

The order in which visitors see the remaining photos is determined by the upload order in your host dashboard.

Through the “Featured Image” option, you can select which photo appears in the search results when someone looks for an accommodation. This allows you to choose which image best represents the look and feel of your property.

Uploaded photos must be representative of reality and may not contain watermarks, logos, or brand names from third parties. This ensures a reliable, consistent, and professional presentation of all listings on Casa Rento.

What tips can help me take better photos?

Good photos attract more visitors and increase your chances of bookings. Use natural light, ensure the space looks clean and welcoming, and photograph different rooms and angles. Also include a few detailed shots of unique features such as the view, decor, or amenities.

As the creator of the photos, you remain the rights holder. By uploading them, you only grant Casa Rento a non-exclusive license to display and use the images to promote your listing. The photos remain your property and can be removed at any time.

Can I use professional or edited photos?

Yes, professional photos are allowed and often contribute to a more polished presentation of your listing. Minor edits, such as adjusting brightness or contrast, are fine as long as the photos represent the accommodation accurately. Excessive filters or alterations that misrepresent reality are not permitted.

If you use a photographer, always ensure that you have the usage rights. In many cases, the photographer retains the copyright unless otherwise agreed. Casa Rento is not responsible for any disputes arising from such arrangements.

Can I change or delete photos later?

You can add, replace, or delete photos at any time through the host dashboard (in step 1). Changes are immediately visible on your listing page. When a photo is deleted, Casa Rento’s license to display that image on the platform automatically expires.

However, a deleted photo may remain visible in previously published promotional campaigns, newsletters, social media posts, or external caches. These publications are not retroactively updated or removed. It is not reasonable to expect Casa Rento to manually remove images already used in ongoing or completed promotions.

Why aren’t my photos displayed?

If your photos are not immediately visible, several factors may be the cause. Sometimes the upload has not fully completed, or the files are too large. Also, check whether the photos meet the format and quality requirements.

If your photos remain invisible after some time, please contact Casa Rento’s support team. They will gladly assist you and check for any technical or rights-related issues preventing publication.

Yes, you can! You can add a video of your accommodation via a YouTube link. This gives potential guests a better impression of the atmosphere, location, and facilities of your stay.

How do I add a video?

  • First, upload your video to YouTube.
  • Copy the YouTube link of your video.
  • Go to your host dashboard.
  • Open your accommodation and paste the YouTube link into the “YouTube video” field in step 1, then save your changes.

Important tips:

  • Only YouTube links are currently supported (no Vimeo or other platforms).
  • Make sure the video is visible to everyone (not set to private).
  • The video must show your own accommodation.
  • Use clear, stable footage.

A Casa Rento account is linked to a single host. There is one login code per account. If multiple people need access, they log in using the same code.

Please note that as the host you remain fully responsible for all actions performed with this login code. Casa Rento is not a party to internal arrangements about sharing the code and cannot be held liable for damage, errors, or misuse resulting from sharing access within your organization.

To prevent misunderstandings and misuse, keep the code confidential and share it only with authorized persons who need access to manage accommodations. Update the code as soon as the group of authorized persons changes or when someone no longer needs access. Use a strong password and do not reuse it on other services. If the code is lost or misuse is suspected, reset the code immediately.

If you’ve forgotten your password, go to the Casa Rento login page and click on ‘Forgot password?’. Enter the email address you used to register. You will then receive an email with a link to create a new password.

The link is valid for a limited time, so complete the change right away. Once you’ve set a new password, you can log in again and manage all your accommodations as usual.

If you didn’t receive the email, check your spam or junk folder. If it’s not there, you can restart the recovery process or contact the Casa Rento helpdesk for assistance.

Tip

Create a secure password with at least 8 characters, including one lowercase letter, one uppercase letter, one number, and one special character. For security reasons, do not reuse passwords from other websites.

Your email address is the unique identifier for your Casa Rento account. Therefore, you need to know which address you registered with in order to log in or reset a password.

If you have forgotten the email address, or you no longer have access to the mailbox (for example because it has been closed or changed), the Casa Rento helpdesk can help by verifying your identity. We may ask for additional information, such as:

  • the name under which the account was registered,
  • your home address,
  • your phone number.

After verification, we will link your existing account to a new email address so you can sign in securely again.

Tip

Always use an email address you will keep long term and check regularly. This helps you avoid missing important notifications or requests.

The username in your profile is a required field that is used to technically register your account completely within the system.

Although this name is not visible within the platform and is not used to log in, the field is necessary to ensure that your profile is stored correctly and completely.

You can enter anything you like here, such as your own name, company name, or any other identifier.

The username has no impact on your login details or the use of the platform — it is purely an administrative requirement to ensure the system functions properly.

Would you like to decide which name is displayed with your accommodation(s) on the website?

You can set this in the first field of your profile: Your name as it appears on the website.

Manage and edit requests in any status

In the request overview, you can make adjustments in any status column. Whether a request is new, pending, upcoming, or completed — you can modify amounts, update values, or change the status at any time.

All final arrangements and payments for the stay are always made directly between you and the guest, outside of Casa Rento. Casa Rento is not a party to the agreement, does not mediate in payments, and does not record any financial transactions. Therefore, the amounts shown in your dashboard are for informational purposes only and intended for your own administration.

The final amount may differ from the initial indicative price. For example: if the indicative price of the accommodation was €650, but changes (such as extra nights or fewer guests) increase or decrease the amount, you can easily adjust it. If you want to set the value to €0.00, you can do so by manually changing the full indicative amount to zero.

In your dashboard, under "Requests", you’ll find a complete overview of all booking requests received through Casa Rento. Each request has a status and contains various fields with information such as indicative price, total amount, paid (outside Casa Rento), outstanding amount (outside Casa Rento), and buttons like Details, Action, and Complete.

This overview helps you keep everything organized administratively.

The amounts and statuses have no financial meaning — Casa Rento does not mediate in or process any payments.

Please ensure that you maintain accurate and complete financial records yourself, as Casa Rento does not register or verify any payments. You are solely responsible for properly recording and, where applicable, reporting your income to the tax authorities.

All agreements and payments are made directly between you and the guest.


Button - Details

The ‘Details’ button opens a full overview of the request. Here you can view the stay period, check the guest’s details, and read any comments or additional information. This button helps you review a request before deciding how to proceed.

Button - Action

The ‘Action’ button allows you to easily change the status of a request. For example, you can mark a request as confirmed, set it to paid, or cancel it. The button is designed to manually manage the status of a request, ensuring your overview stays up to date. This is purely an administrative function: changing the status does not affect payments or prices. However, it does affect your availability calendar!

Button - Paid

The ‘Paid’ button is used to administratively close a request in the system. When you perform this action, the field “Outstanding amount” is automatically set to €0.00. This value is indicative and may differ from the actual amount agreed upon with the guest. Since Casa Rento has no insight into payments between guest and host, the ‘Paid’ button is purely administrative and has no financial effect.


Status - All Requests

This category shows an overview of all requests ever made for your accommodations — regardless of their status. Useful for getting a complete picture of past and ongoing requests.

Status - Completed 

The status “Completed” means that the guest’s stay has ended and the booking is fully finalized.

From this moment, guests can leave a review of their stay.

Status - Processing

The status “Pending” appears as soon as a guest submits a request for a stay. Every new request automatically receives this status.

This means the booking is not yet final and still needs to be reviewed by you as the host.

While a request is “Pending”, the selected dates are temporarily blocked in the calendar. Other guests will not be able to book these dates until you accept or decline the request.

Status - Confirmed

The status “Confirmed” means that you have approved the guest’s request and the booking is now final.

The stay is officially registered in the system.

Once a request is “Confirmed,” the booked dates are shown as unavailable in the calendar, and other guests can no longer submit a request for the same period.

Status - Cancelled

The status “Cancelled” means that the request has been cancelled by either the guest or the host.

The stay will not take place, and the request is administratively closed in the system.

Once the status “Cancelled” is active, the relevant dates are released in the calendar again, allowing other guests to submit a new request for the same period.

Status - Paid

The status “Paid” means that the guest has completed the payment (outside Casa Rento) and that the stay will take place soon.

The booking is fully confirmed and administratively completed on the payment side.

Once the status “Paid” is active, the booking remains blocked in the calendar so that the dates are no longer available to other guests, and you can prepare for the guest’s arrival.

Status - Unpaid

The status “Unpaid” means that the guest has not yet completed the payment for the booking.

The request has been created, but the payment has not been received or confirmed (outside Casa Rento).

When the status “Unpaid” is active, the request is not blocked in the calendar, and the selected dates remain available for other guests to submit a request.

Status - Partial payment

The status “Partial payment” means that the guest has paid part of the total amount (outside Casa Rento), but a remaining balance is still due.

The booking is partially confirmed based on the received payment.

Once the status “Partial payment” is active, the booked dates are blocked in the calendar, and other guests can no longer submit a request for the same period.

The remaining balance is displayed as an open amount in the system until the full payment is completed. This open balance may differ from the indicative price.

When you subscribe to Casa Rento as a company, the VAT number you enter is automatically verified through the VIES system (the official European system for the validation of VAT numbers).

Once your VAT number is valid and successfully verified, the VAT will be automatically reversed. This means that Casa Rento will not charge VAT, and you as a company must declare the VAT in your own country (according to the European rules for intra-community transactions).

Sometimes, you may receive an error message during this verification process. This is not caused by the Casa Rento website, but by a temporary issue or delay with the VIES database.

Please try again later in that case.

Note:

  • If you do not enter a VAT number, VAT will automatically be charged.
  • If you have a Dutch VAT number, VAT will still be charged, even if you enter your VAT number (the reverse charge mechanism only applies to companies outside the Netherlands).
  • Once the VAT number has been successfully verified, you can complete your subscription and — if applicable — VAT will automatically be reversed.

If the requester cancels or withdraws the reservation, you must first delete or cancel the existing booking. Only then will the accommodation become available again for new requests. Note: you cannot “undo” a booking from the calendar. Deleting or cancelling a reservation can only be done via Requests in your dashboard.
